Quick Start Guide
Before You Begin
To start working with MyInvoice, you need at least one business account. The app supports managing multiple companies/businesses within a single application.
Welcome Screen
When you launch the app for the first time, you will see a welcome screen with four options:
1. Create First Account (Blue button)
Choose this option if you are starting with MyInvoice from scratch.
Account creation process:
- Enter the account name (e.g. “My Company”)
- Select the country of business registration
- Enter the tax identification number (NIP/VAT ID)
- Set the time zone
- Confirm the details
After creating the account you will have access to the full functionality of the app. Based on the NIP number, the app will fetch your company information from the REGON database and the VAT whitelist — most of the data needed for invoicing will already be filled in, but verify that all details are correct by going to Settings → Sellers.
2. Restore from Backup File (Orange button)
If you have a backup of your data from a previous MyInvoice installation:
How to restore data:
- Tap “Restore from Backup File”
- Select the backup file (.backup) or on macOS drag it from Finder
- The app will automatically restore all your accounts, invoices, expenses and clients
3. Import Data from Previous MyInvoice 2 (Green button)
If you upgraded from an older version of MyInvoice, you can import all data from the previous version. Due to database changes this is not an automatic operation. If you decide to create a new account in step 1, you can always restore data from the previous version via Settings → Import from MyInvoice 2.
Remember! If you uninstall MyInvoice from your device, you will also lose the data from the previous version!
How to import data:
- Tap “Import Data from Previous MyInvoice 2”
- The app will automatically locate the database from the old version
- All data will be transferred to the new version
4. Subscribe (Purple button — visible if you have no active subscription)
MyInvoice offers a subscription with additional features.
About the subscription:
- Full access to advanced features
- Support for multiple business accounts
- Tap “Subscribe” to see available plans
iCloud Synchronisation
If you have installed the app on another device, you may see the message “Syncing with iCloud… Please note this may take several minutes or hours. Keep the app open.” on the welcome screen. This means the app is currently downloading data from iCloud. Depending on the size of the database, this operation may take from a few minutes to several hours. Keep the device with the app open on the main screen so that synchronisation can complete fully.

First Steps:
Configure Seller (Settings → Sellers)
- Company name
- Address
- Tax ID (NIP)
- Bank details
Add Exchange Rates (Settings → Currencies)
- Default: PLN, EUR
- Add other currencies as needed
Configure VAT Rates (Settings → Tax Rates) VAT rates are already configured by default. You cannot delete these rates, but you can add custom ones, e.g. the flat-rate tax amount for farmers. Available rates include:
- Exempt (zw.)
- 0%
- 5%
- 8%
- 23%
Add Payment Methods (Settings → Payment Methods) Payment methods are already configured by default. You cannot delete these methods as they are system settings for KSeF. You can add your own.
- Cash
- Bank transfer
Customise Invoice Template (Settings → Invoice Template) You can choose from different invoice templates and customise the information you want to appear on invoices.
User Name The app assumes that one user works on a given device. You can optionally enter your first and last name (placed on certain documents in the signature field). This option is available in MyInvoice → Settings (macOS) or Settings → Global (iOS).
