KSeF

Since 1 February, KSeF has been introduced into the circulation of sales documents. Consult your accounting office or read the guides on the KSeF website to find out whether it is mandatory for you.

Data is received no more frequently than once every hour. You can go to the KSeF Task Queue option and force a synchronisation.

Receiving Expense Documents

In the app you can receive expense documents issued by your contractors. After downloading an invoice, the app adapts it to its own database, so it may differ from the original KSeF document or some data may not be displayed. Future versions of the app will address this issue. Documents downloaded from KSeF cannot be edited.

Receiving Sales Documents

You can also receive your company’s sales documents issued by other persons authorised to issue invoices. This is a convenient data synchronisation mechanism between different invoicing applications. In such a case, make sure to use a consistent document numbering format with a Series identifier to avoid duplicate invoices and ensure the correct next number (index) is assigned to a received invoice. Otherwise the app will not recognise the index and it will need to be assigned manually.

Sending Sales Documents

You can send an issued invoice to KSeF when saving it as a final document, or later by selecting an invoice with the status Ready and choosing the Send to KSeF option (blue aeroplane icon). Invoices with the status Ready are not sent during synchronisation — sending is a deliberate user action. If an invoice fails to send, you will receive a message explaining the reason for rejection by KSeF. An invoice that could not be sent on time or due to lack of internet connectivity can be issued in offline mode, delivered to the client as a PDF or printout, and then sent at a later date. In the event of a complete KSeF failure you can mark an invoice as “offline”, in which case you are not required to send it to KSeF.
